Q1: Does Informa Markets have a security contingency plan in place in the event of an emergency?

The safety and security of exhibitors, visitors and our staff is our top priority. We are working in close coordination with the venue management teams in ensuring a safe environment in the exhibition venues. Our emergency response plans are ready to address various scenarios. Security will also be enhanced to beef up access monitoring and control.

Q2: Will you be enhancing your shuttle bus services to cover not just your usual pick-up and drop-off points? What if there were transport disruptions?

Yes, we are regularly reviewing and finetuning the priority routes for additional shuttle bus services. We will have shuttle buses ready to serve show attendees travelling from the HKCEC to the Eastern and Western districts of Hong Kong Island and Kowloon, and vice versa, if the situation calls for it. We will also designate major hotels in select districts as pick-up and drop-off points for show attendees. Similar contingency measures have also been arranged for exhibitors and visitors headed to and travelling from AWE.

Q4: Could you please share details about your visitor promotion campaign? What are the incentives that you have offered visitors to date?

Our visitor promotion campaign is in full swing, and we have launched several initiatives to encourage buyers to experience the September Hong Kong Jewellery & Gem Fair.

We have engaged the services of a major travel agency in China, which is offering special hotel rates to qualified visitors. We have also been holding a series of road shows at the Shenzhen Jewellery Exchanges and engaging with buying groups from China.

We are offering 10,000 complimentary hotel room nights exclusively for trade buyers invited by exhibitors. Each exhibitor may nominate three significant buyers who will be entitled to two free consecutive hotel room nights during the September Fair show dates. The deadline for the submission of the filled-out forms has been extended to 12 September 2019.

In addition, we have launched a massive telemarketing campaign to reach out to 50,000 buyers from all over the world – including Trade Buyer ID (TBID) holders, buyers who attended the show’s 2018 edition, and those who have pre-registered this year. Many of these buyers have already been contacted and have confirmed their attendance. Efforts to convince other potential visitors – who may still be considering signing up for the show – that everything is being done to address their concerns on security matters and the fair’s operational requirements are ongoing.

We are personally calling and inviting our clubElite buyers to the fair.
Additional online promotions focused on China, Southeast Asia and international visitors are ongoing.

We are also offering hotel sponsorships to first-time international visitors. Informa Markets is also making the most out of its powerful online platform – targeted eBlasts, websites and social media channels – to connect with and entice visitors to the show.

FAQ for Exhibitors

Q5: What are the backup arrangements for the show’s move-in and move-out dates?

We are working closely on a contingency plan with contractors and forwarders, including an earlier move-in schedule for AWE exhibitors (download schedule) and extended move-out periods if necessary.

The fair dates remain unchanged: 16 –20 September 2019 at the AWE, and 18 – 22 September 2019 at the HKCEC

Q6: In case of an emergency, will my goods be covered by my regular insurance policy?

As of today, major forwarders said their costs, and the Terms & Conditions on their insurance policies remain unaffected in spite of recent public incidents.

Onsite Pick-Up and Contingency Domestic Services will be provided by Valuables Forwarders to address some of the exhibitors’ insurance concerns. (More details to follow.)

Exhibitors are advised to speak with their insurance representatives on their coverage.

Q7: Is it true that exhibitors cannot purchase trade show insurance plans, which cover “Strikes, Riots and Civil Commotions” (SRCC) risks?

We have checked with Willis, our recommended insurer, and their advice is for exhibitors to speak first with their insurance representatives and/or brokers. They may extend the coverage on top of their own insurance policy, which can cover SRCC.

Our forwarders can provide show insurance coverage if exhibitors purchase their whole forwarding service package. This means our forwarders cannot offer show insurance policy individually or singly.

Exhibitors who are interested in purchasing the whole service package may contact our official forwarder, Brink’s, for further details:

Exhibitors may also contact other major forwarders – Malca-Amit, Ferrari and G4S – for professional advice.

Q8: What about insurance coverage for our staff?

Exhibitors are advised to consult their insurance companies or agents regarding this matter.
